KYC outsourcing and AML remediation

Put a scope and a date on the backlog.

Start with the file population and the deadline. We agree the checks, evidence standard and escalation process before accepting customer documents.

01 · Investor onboarding

Give your approver the evidence to decide.

We review identity and authority documents, trace beneficial ownership and screen the relevant parties. For investors using holding companies or intermediaries, we record how the structure works and where the evidence still falls short.

02 · KYC remediation

Close the gaps keeping files open.

A register extract conflicts with the ownership chart. A source-of-wealth statement has no supporting evidence. We identify gaps, work the agreed remediation and return an exception log with the questions your team still needs to resolve.

03 · Periodic reviews

Bring overdue reviews back under control.

We refresh customer records and screening, review changes in ownership or activity, and reassess risk under your methodology. Recurring work follows your approved review schedule, with trigger-event reviews scoped when circumstances change.

Who we support in Luxembourg

Define the work around your role.

A fund, its manager and its transfer agent may use the same investor documents while holding different obligations. We agree whose policy governs the work and who receives each exception.

Funds and investment fund managers

Investor CDD for Luxembourg fund structures, with the fund’s and manager’s roles defined before work starts. We agree the escalation route to your RC and authorised approvers. Investor file work does not replace investment-side or distribution-channel controls.

Administrators and transfer agents

Extra review capacity for subscription files, remediation populations and periodic-review queues. We work to the agreed policy and handover format, keeping delegated tasks distinct from the administrator’s own AML/CFT obligations.

Banks and other financial-services firms

Individual and corporate customer reviews, including layered ownership and source-of-funds evidence where required. We scope the work around your activity, supervisory status and customer risk, rather than applying a fund investor checklist to every relationship.

CSSF AML/CFT · Outsourcing oversight

Keep oversight of every outsourced review.

Article 37 of CSSF Regulation No 12-02 addresses the scope, access rights and oversight of outsourced AML/CFT work. The regulated professional keeps responsibility for compliance.

We document the checks and unresolved concerns so your RC and authorised team can review them. Customer acceptance, high-risk approvals and reporting decisions stay with your firm.

Check the CSSF requirements

Read CSSF Regulation No 12-02 alongside the rules applicable to your entity. Our Luxembourg AML compliance guide covers the 2004 AML Law, beneficial ownership, RR/RC responsibilities and the EU AMLR transition from 10 July 2027.

What you receive

Files your approver can follow.

Each conclusion links to the evidence we reviewed. Missing documents and unresolved concerns remain visible, so your team can see what still needs a decision.

Included in the file

Ownership evidence you can trace

An indexed record of the customer and relevant connected parties. Ownership and control conclusions link to source documents, with inconsistencies and missing evidence recorded.

Included in the file

Screening results with a disposition

Sanctions, PEP and adverse-media results, with the reviewer’s match assessment and any concern requiring escalation.

Included in the file

A documented risk assessment

The proposed rating under your methodology, source of funds and wealth evidence where required, and the reasoning your approver needs to review.

Included in the file

An exception log for your RC and approvers

Human-review notes, unresolved requests and the decisions still needed from your team. A file with a material gap stays identifiable at handover.

The process

Start with the case count and your deadline.

  1. 01 · Scope

    Define the population.

Tell us the entity type, number of files and target date. We agree the policy, deliverables, access and price before you send customer documents.

  2. 02 · Work & review

    We work each case.

Agents organise documents and run the first pass. Qualified compliance reviewers check the evidence and reasoning, then escalate unresolved or higher-risk cases.

  3. 03 · Handover

    Your team decides.

Receive reviewed files and an exception log. Your authorised team makes acceptance and escalation decisions. Recurring reviews follow the schedule you approve.

Need to test files already held by an administrator? Shadow KYC file testing is a separately scoped review. We agree independence and reporting arrangements before starting; it does not replace a programme-wide AML audit.

Scope, pricing and the responsibilities your Luxembourg team keeps.

Scope your KYC backlog
What do your Luxembourg KYC services include?

Managed investor or customer onboarding, CDD remediation and periodic or trigger-event reviews. We agree the legal entity, policy, file population, evidence requirements and escalation routes first. The scope can cover a one-off backlog or recurring operational work.

Can you work alongside our fund administrator or transfer agent?

Yes. We agree which files and tasks we handle, who requests missing documents and how findings reach your team. The scope distinguishes work delegated by a fund or manager from the administrator’s own obligations. Access and oversight arrangements are agreed before file transfer.

How does managed KYC support our Luxembourg AML/CFT obligations?

We carry out the agreed due diligence under your approved policy and return human-reviewed files with evidence, risk assessments and escalations for your RC and authorised approvers. This supports your firm’s CDD work and oversight. Your firm retains compliance responsibility, customer acceptance, high-risk approvals and reporting decisions. We agree applicable outsourcing and data-handling arrangements before work starts.

Do you act as the Luxembourg fund’s RR or RC?

This managed KYC engagement does not appoint AgentKYZ as your RR or RC. It provides operational file work and reporting to support your existing governance. Formal RR and RC appointments have separate eligibility, mandate and availability requirements.

Is this KYC software or a managed service?

It is a managed service supported by software and AI agents. Agents organise documents and run the first pass; qualified compliance reviewers check the evidence and reasoning. Your team receives reviewed files for its decision. We do not promise automatic regulatory compliance or CSSF approval.

How much does Luxembourg KYC remediation cost?

We quote against the case count, ownership complexity, available evidence and review scope. Bring the population and target date. We confirm pricing, delivery, responsibilities for missing documents and data-handling terms in writing before work begins.
